MFA - Enroll with a Mobile Device

A mobile device (iPhone/iPad or Android phone/tablet) is required for the setup procedure below. An app called “Microsoft Authenticator” needs to be installed as the first step.  

 

Faculty and Staff:  

  • This app DOES NOT transfer any data to Microsoft, Minnesota State, or Normandale Community College. 
  • This app DOES NOT give control of your device or data to Microsoft, Minnesota State, or Normandale Community College. 
  • Installing this app DOES NOT constitute government data under Minnesota State System Procedure 5.22.2 Cellular and Other Mobile Computing Devices 

 

If you see the message below when logging into Office 365 or Microsoft Office apps, you have been enrolled in Multi-Factor Authentication for additional security protections.  Please follow the instructions below to complete the setup process for Multi-Factor Authentication. 

 

Multi-factor enrollment is most successful when a customer uses a computer and a mobile device. If a customer does not have access to a computer, the instructions below can be used instead.

  1. Click Next 
  1. Open the App Store (Apple iPhone / iPad) or Play Store (Android) 
  1. Search for and install Microsoft Authenticator 

 

  1. Click Next 
  1. Under Step 1: How should we contact you?
  1. Change the dropdown from Authentication phone to Mobile app. 
  1. Click the radio button that says Receive notifications for verifications

 

  1. Click Set up. 
  1. A QR code will be displayed.

Mobile Device 

  1. Open the Microsoft Authenticator app
  1. Tap the three dots in the upper right corner. 
  1. Tap Add Account and choose Work or School Account.

 

 

  1. Tap Scan a QR code.  
  1. Allow the app to use the camera if asked for permission. 

 

  1. Hold the phone up to the computer screen to scan the QR code displayed.
  1. Close the Microsoft Authenticator app.

Computer 

  1. Click Next
  1. Click Next.
  1. An approve/deny message will be sent to the mobile device configured above.

Mobile Device 

  1. Tap Approve.

 

Computer 

  1. Under Step 3 
  1. Select the correct country code for your phone under the Select your country or region drop down. 
  1. Type in or verify the phone number to receive a phone call or text message as a backup in case the authenticator app is not functioning.

 

  1. Click Done

 

All future logins for Office 365 will now be required to use Multi-Factor authentication.  You will need your mobile device any time you are asked to login to Office 365 services to approve the login.   

 

If you see the Approve / Deny message on your mobile device, but were not logging in, click DENY. 

 

If you lose your mobile device or change mobile devices, please call the IT Service Desk at 952-358-8181 for instructions on how to regain access to your Office 365 account.

Setting up MFA is a very simple process, and once it is set up, is very easy to use. It is easiest to use both a computer and mobile device to complete enrollment. There are two steps you will need to take:

  1. Step 1: Enable MFA in one of 2 ways:
    1. Self-Enrollment
    2. Automatic Enrollment
      If you've been automatically enrolled, you will see the message "More information required" when you try to log into Office 365 / email.
       
  2. Configure MFA
    Note: Once MFA is enabled, you must configure MFA before you can access your Office 365 email and apps.

2. Configure Multi-Factor Authentication 

Before you can configure MFA, you must have been automatically enrolled or self-enrolled by going to https://www.minnstate.edu/mfa

It's easiest to use both a computer and mobile device to configure Multi-Factor Authentication. It is strongly recommended to use the Microsoft Authenticator app, but you can also use alternate authentication apps, such as Google and Lastpass. Instructions below are for the Microsoft Authenticator app. If you choose a different authentication app, you will need to download and configure that instead.

Mobile Device

  1. Open the App Store (Apple iPhone / iPad) or Play Store (Android).

  2. Search for and install the Microsoft Authenticator app.

Computer

  1. Start the MFA First-Time Setup Wizard to complete your MFA setup.
    Note: You need to complete the MFA Wizard before you can access your emails and other information in Office 365.  If you do not complete the Wizard successfully or cancel the Wizard, you will not be able to access your emails, files, or applications in Office 365 until MFA is successfully configured and verified. 
  2. Click Next
     
  3. Under Step 1: How should we contact you?
    1. Change the dropdown from Authentication phone to Mobile app.
    2. Click the radio button that says Receive notifications for verifications.
       
  4. Click Set up. A QR code will be displayed.

  1. Open the Microsoft Authenticator app.
