Laptop Allocation and Request

Service Description

Laptops are available to most faculty and staff. They will also be provided with a dock that connects their laptop to their office monitor(s), keyboard, mouse, etc, to provide the same in-office experience as a desktop. As a general practice, users are not permitted to have two College-owned computers (desktop & laptop) assigned to them personally. Exceptions will be rare and made on a case-by-case basis.

Standard Features

Laptops are provided as follows:

  • All faculty and staff are provided with either a desktop or a laptop depending on their position. 
  • Temporary faculty will be required to return the laptop when they are not teaching. 
  • Laptops will be allocated to users based on job responsibilities and need.
  • Special requests need to be approved by dean or supervising admin. Special requests include changing from a desktop to a laptop and vice versa and getting a non-standard device.
  • Our standard laptop is a Lenovo T14 with 16GB of RAM, an 256GB SSD, and without touch. We recognize this will meet most faculty and staff needs, but not all. If this does not meet your needs, please let us know what your needs are. We are able to obtain alternate devices with approval from a dean or supervisor. 
  • Faculty and staff will not receive their laptop until their first day of work. If faculty need the laptop sooner, they will need to request it through their Dean.

Please keep the following in mind when requesting a laptop:

  • Faculty and staff must choose either a laptop or desktop. They cannot have both. Exceptions are rare and will be made in a case-by-case basis.
  • Laptops will be equipped with a docking station so that they can be connected to a monitor, keyboard, mouse, and other peripherals.
  • Laptops are replaced on a 4 to 5-year replacement cycle.
  • The Colleges standard is for laptops is Lenovo laptops. Since ITS technical knowledge and strength in Mac support is limited, we will support Mac purchases for faculty only in certain circumstances.

Optional Features

Docking station for monitors and peripherals

Offices will be equipped with a docking station so that the laptop can be connected to a monitor, keyboard, mouse, and other peripherals. The standard is to provide 1 or 2 monitors as needed to all faculty and staff. Speakers, cameras, and other peripherals are available for permanent use as requested at the Help Desk.

Headsets and other peripherals are available at the ITS Help Desk (L1701) and headsets are also available in the Professional Development Center.

Roles and Responsibilities

Employee Responsibilities:

Normandale Community College may provide a laptop, mobile device, and/or similar equipment to employees for the purpose of performing job related tasks specific to academic instruction, business operations, emergency management, and/or other duties as deemed appropriate by the sole discretion of Normandale. Normandale ITS also provides checkout laptops for occasional laptop use.

  1. Employees are assigned a laptop to perform duties directly related to the business of Normandale. Laptops shall not be used by non-employees and are not intended for non-College business.
  2. Employees are responsible for all data stored on the hard drive of the laptop in terms of security and back up. Normandale ITS recommends saving all files to the H: drive or OneDrive. Laptop drives are encrypted in case of loss or theft.
  3. Any use of College equipment or devices by Employees shall strictly adhere to the College's Computer and Network Usage Policy.
  4. If the device is lost or stolen, the employee shall immediately notify his/her supervisor and the ITS Help Desk and if requested by the College, the employee must file a police report and provide a copy of the report to his/her supervisor.
  5. Employees are responsible for taking reasonable precautions to protect and maintain their device. Evidence of misuse or abuse of a laptop or mobile device may result in the revocation of the employee's use of such equipment or device but any such action will be consistent with any governing collective bargaining agreement as applicable. Additionally, employees may be responsible for the loss of value associated directly with any intentional misuse or abuse.
  6. When an employee's employment ends at Normandale Community College, the employee will return the equipment no later than their last day of employment.
  7. Laptops, mobile devices, and similar equipment are provided at the sole discretion of the College. Budgets, costs, needs of Normandale, individual duties, etc. may determine which employees are provided such equipment.

ITS Responsibilities:

  • We will provide support for laptop requests and issues.
  • We will provide monthly updates to keep the system and applications up to date.
  • We will scan the system on a regular basis to ensure that no malware is installed.

How to Request

Click the Request a Laptop button and complete the request form. You will need to provide information to explain your need for a laptop. Once submitted, the request will need to be approved by your chair/manager and then your dean/admin. ITS has limited funds for purchasing laptops throughout the year and will evaluate requests once a semester.
