The following checklist will help guide faculty and staff in assessing and updating phone and email services following the June 18-21, 2020 migration to the Office 365 Unified Tenant. These checklists cover common tasks that may or may not apply to you.
Phone: Please take these steps to ensure that you can make and take calls.
- Is Microsoft Teams installed on your computer?
To find out, click on the Start button on your computer and type Teams.
- If the icon above shows up, Teams is installed.
- If not, Install Microsoft Teams on your computer
- Log in to Microsoft Teams using YourStarID@minnstate.edu
- Log into your desk phone (when you return to your office)
Email: Please take these steps to restore or recreate any settings in your email. All steps are optional and may not apply to you. Feel free to skip any you don't use.
- Set up the Outlook application with your new email profile
- Set up the Outlook application (Windows)
- Set up the Outlook application (Mac)
- Verify settings and Restore, if needed, any saved Outlook items that you saved before the migration.
- Do you have your Outlook signature?
If not, Set up your Outlook Signature
- Are your Contacts migrated?
If not, Restore your Contacts if you exported them.
- Did your individual distribution lists migrate?
If not, Restore your Distribution Lists if you sent them to yourself.
- Did your Junk Email Filter Lists migrate?
If not, Import addresses from the Junk Email Filter Lists if you exported them.
- Did your Outlook Rules migrate?
If not, Restore Outlook Rules if you saved them.
- Recreate your Category Colors in Outlook
- If colored categories did not migrate over, you will need to recreate them. You can use the instructions Create and Assign Color Categories from Microsoft support.
- Change/reset your work hours and days in Outlook
- Did your delegate access to Calendars and other items carry over?
If not, Set up Delegation Access: Allow someone else to manage your Outlook Mail and Calendar
- Set your default institution and email address (Office 365 Contact) - Coming Soon!
Note: this is only necessary if you are an active member of multiple Minnesota State institutions.

Set up your Outlook Signature
- Find the email message that you previously sent that contains your Signature. Highlight and copy (ctrl + c) the signature.
- Open a new mail message.
- On the Message menu, select Signature > Signatures
- Under Select signature to edit, choose New, and in the New Signature dialog box, type a name for the signature.
- Under Edit Signature, paste (ctrl + v) your previous signature. You can also make changes to your signature here. You can obtain the Normandale email signature logos on the Marketing Intranet site.
- Under Choose default signature, set the following options for your signature:
- If you want your signature added to all new messages by default, in the New messages drop-down box, select one of your signatures. If you don't want to automatically add a signature to new messages, choose (none).
- If you want your signature to appear in the messages you reply to and forward, in the Replies/forwards drop-down, select one of your signatures. Otherwise, accept the default option of (none).
- Choose OK to save your new signature.
Restore your Distribution Lists
- In Outlook, find the message that you sent yourself with your distribution lists.
- Click on the first distribution list, and drag it down to the People icon in Outlook
Import Addresses from the Junk Email List
The Outlook Junk Email Filter checks the sender of every incoming message against lists of email addresses and Internet domains. Under the Junk Email Options you can define "Safe Sender, Safe Recipients and Blocked Senders".
- In Outlook, click on the Junk Email Icon.
- Click on Junk-Email Options.
- For each of these tabs Safe Senders, Safe Recipients, or Blocked Senders, click Import from File.
- Select the file you previously saved.
- Click Open
Restore Outlook Rules
- In Outlook, click the File tab.
- Click Manage Rules & Alerts
- Click Options
- Click Import Rules
- Select the previously saved file you created (example OutlookRules.rwz)
- Click Open
